Planning & Budget

Operations planning, budgeting and financial administration

Every large event is a set of interlocking commitments. We build the operating plan that holds them together, own the operations budget behind it — we have managed budgets into the tens of millions of dollars — and administer the money as the show moves, so decisions get made on numbers, not guesses. For organizers who run their own operation, the same work is available as an assessment or a second opinion.

Venue scouting, contracting and site infrastructure

The venue decision shapes every cost that follows. We scout and evaluate venues against the operational reality of the show, negotiate the agreement, and then take responsibility for everything the building doesn’t supply.

Freight & Material Flow

Freight scheduling, marshaling yard and dock operations

This is the discipline EVLC was built on. We plan the flow of freight into, around and out of the venue and then run it on the ground: yard, docks, desk, packages and receiving, through load-in, show days and load-out.

Labor

Union and contract labor management

Labor is the largest variable cost on most large events and the easiest to lose control of. We coordinate and manage it with oversight on the floor: the right calls at the right times, the rules understood, and the hours reconciled.

Stage, A/V, lighting and production vendor procurement

We run the procurement for the vendors a large event depends on and manage them through the show. Clear scopes, competitive quotes, contracts that say what happens when things change, and one person the vendor answers to.

Heavy Equipment

Heavy equipment planning, procurement and on-site management

Equipment is ordered on guesswork more often than anyone admits: the general service contractor’s guideline, last year’s number, or whatever the vendor suggests. We size the fleet from operational data — freight volume, dock schedule and floor plan — so the order matches the show, then account for every unit from delivery to return.

  • Certified operatorsEVLC’s principal is a certified operator and certified train-the-trainer for MEWP scissor lifts (3A) and boom lifts (3B), and for warehouse forklifts (Class 1, 4 and 5).
  • Safety & complianceOperator qualification, pre-use inspections and return-condition reports that hold up when the rental invoice arrives.

Exhibitor freight, orders and show services

Exhibitors judge a show by how easy it is to get their freight in and their orders filled. We build and run the exhibitor-facing services under the show’s brand, not ours, so the organizer’s team is not the help desk.
